Return and Exchange Policy

DMM EXPO Private Limited supplies bulk food and agricultural products for international export. For food-safety, regulatory and cross-border reasons, these goods are generally not returnable or exchangeable once shipped. Quality is protected before dispatch, and genuine discrepancies are handled through a defined international quality-claims process.
Quality assurance before shipment
Samples are provided against your specification for approval before the order proceeds.
Every lot is inspected and lab-tested and ships with a lot-wise Certificate of Analysis (COA).
Where applicable, product is prepared against internationally recognised quality references (for example, ASTA cleanliness specifications and/or European Spice Association (ESA) quality minima) as agreed in the contract.
What you approve at the sample and COA stage is the agreed standard for the shipment.
Quality claims
If a delivered shipment does not conform to the agreed contract specification, the buyer may raise a claim, subject to:
Notice period: written claim within the period stated in the sale contract days of the goods arriving at the destination port.
Independent evidence: a report from an internationally recognised inspection agency (for example SGS, Bureau Veritas or Intertek) and/or an accredited laboratory, with samples drawn in a manner acceptable to both parties.
Preservation: the goods must be preserved and not disposed of, resold or altered until the claim is resolved.
Resolution
Where a claim is validated against the agreed specification, DMM EXPO will, at its discretion and as provided in the sale contract, offer a mutually acceptable remedy such as a price adjustment, partial credit or replacement on a future shipment. Remedies are limited to the invoice value of the affected goods. Unresolved disputes are settled under the dispute-resolution clause of the sale contract. Remedies are handled as agreed in the sale contract and applicable law.
Exclusions
No return/claim is accepted for: goods meeting the agreed specification and approved sample/COA; damage, deterioration or contamination arising after risk passed to the buyer under the agreed Incoterm (e.g. poor storage/handling at destination); custom, private-label or organic-certified goods, except for a validated conformity defect; and claims raised after the notice period or without the required independent evidence.
